ANTOKALY collects only the information needed for professional exchanges, for requests sent from the website and, if you sign up, for the Maison's communications.

This policy explains how ANTOKALY handles personal data sent from the antokaly.com website, in particular through the contact form and the newsletter signup form.

It applies to website visitors, to professionals who send a request to ANTOKALY, and to people who have signed up to receive the Maison's communications.

Data collected

ANTOKALY limits collection to the information useful for reading your request or sending a communication you have asked for.

  • For a contact request: Maison or organisation, role, professional email address, country, anticipated volume, desired timeline, aromatic profile sought and any details voluntarily shared in the form.
  • For the newsletter: email address, consent, signup date and information needed to manage unsubscription when the sending tool provides it.
  • For the operation of the website: technical data needed for display, security and the prevention of misuse, in particular the technical logs handled by the host or the form provider.

ANTOKALY does not ask you to share sensitive data. If you share any spontaneously, it will only be used to take your message into account.

  • Receiving, qualifying and processing professional requests sent to ANTOKALY.
  • Preparing an exchange around uses, volumes, timelines and aromatic profiles sought.
  • Following up on a commercial or pre-contractual relationship with interested professionals.
  • Sending news, lot availability and aromatic notes when you have asked to receive them.
  • Ensuring the technical operation, security and maintenance of the website.
  • Responding to requests for rights exercise and meeting applicable legal obligations.

Legal bases

Requests sent from the contact form rely on the performance of pre-contractual steps when the exchange aims at a collaboration, or on the legitimate interest of ANTOKALY in responding to the professional requests received.

Following up on the relationship with professionals relies on the legitimate interest of ANTOKALY in developing and organising its B2B exchanges, while respecting your rights and reasonable expectations.

Sending the newsletter relies on your consent. You can withdraw it at any time.

Processing needed for website security relies on the legitimate interest of ANTOKALY in protecting its site, exchanges and services. Some processing may also rely on compliance with a legal obligation.

Retention periods

  • Data related to professional requests is kept for the time needed to process the request, then for up to three years after the last contact from the professional when no contractual relationship has been engaged.
  • Data related to a commercial relationship may be kept for the duration of that relationship, then archived for the time needed to meet legal, accounting or evidential obligations.
  • Newsletter data is kept until unsubscription or withdrawal of consent. The records used to establish that consent may be kept for the time needed to handle a dispute.
  • Technical logs are kept for the time needed for the security and administration of the website, in principle for a maximum of twelve months.

Recipients and service providers

The data is intended for ANTOKALY and for the people authorised to handle professional requests, communications and the operation of the website.

It may be shared with the providers strictly necessary: website host, professional mailbox and anti-robot protection service. A newsletter sending solution may be added later. This policy will be updated to name it at that time.

The contact form and the newsletter signup form rely on Cloudflare Turnstile, operated by Cloudflare, Inc. (United States), to distinguish human usage from automated requests. For that purpose, Turnstile processes the IP address and technical browser signals, for the sole purpose of security. Email addresses and other information entered in the forms are routed to the ANTOKALY mailbox and stored on the server hosting the website.

ANTOKALY does not sell, rent or transfer the personal data collected from the website to commercial third parties.

Transfers outside the European Union

ANTOKALY does not seek to transfer data outside the European Union for its own needs.

The Cloudflare Turnstile service, used to protect the website forms, involves processing by Cloudflare, Inc. from the United States. This transfer is covered by Cloudflare's participation in the EU-US Data Privacy Framework and by the European Commission's standard contractual clauses.

When the use of another technical provider involves processing or access from a country outside the European Union, ANTOKALY ensures that the transfer is covered by the safeguards provided for by applicable regulation, in particular the standard contractual clauses where required.

Cookies and trackers

Information about cookies and trackers is detailed in the cookie policy.

The site uses Google Analytics with Google Consent Mode v2 for audience measurement. Audience-measurement and marketing trackers, including Meta/Facebook Pixel, are disabled by default and subject to your consent through the consent panel.

Your rights

In accordance with applicable regulation, you can request access to your data, its rectification, its erasure, the restriction of processing, object to certain processing, or request portability where this right applies.

You can also withdraw your consent to the newsletter at any time, without affecting the lawfulness of processing carried out before that withdrawal.

To exercise your rights, write to contact@antokaly.com. ANTOKALY may ask you for additional information if needed to confirm your identity or locate the data concerned.

Security

ANTOKALY puts reasonable measures in place to preserve the confidentiality, integrity and controlled access of the data received from the website.

Electronic exchanges and third-party services nonetheless carry inherent technical risks. The information shared should remain proportionate to the purpose of your professional request.

Complaint

If you consider that the processing of your data does not comply with applicable regulation, you can file a complaint with the CNIL, the French data protection authority.
